Group Service Advisor

Group Service Advisor

Department: Client Experience

Reports To: CEO & Operations Manager

Job Type: Full-Time | On-Site

Location: Virginia Beach, VA

Role Overview

Simple Details is a premier automotive protection and performance studio serving some of the most discerning vehicle owners in and outside of Virginia. Our work spans paint protection film, ceramic coatings, professional detailing, window tinting, and performance modifications, and every client who walks through our doors expects an experience that matches the caliber of the vehicles we touch.

The Group Service Advisor is the connective hub of the entire client experience. This is not a front-desk role and it is not a traditional sales position. It is a consultative leadership role responsible for managing every client relationship from first contact through final delivery across our aesthetic services division and our performance upgrades and automotive maintenance department.

You will serve as the primary point of contact for our clientele, conducting professional vehicle consultations, generating accurate estimates, coordinating production schedules with department leads, and ensuring that every client interaction reflects the standard Simple Details is known for. You are the bridge between our clients and our technicians, keeping the shop floor focused on execution while you own the relationship.

This role requires someone who understands both the language of premium automotive services and the operations of a high-performance shop. You must be equally comfortable discussing PPF film thickness, identifying additional undisclosed client needs during a detailing intake, and coordinating parts timelines for a performance build.

Core Responsibilities

Consultative Sales & Client Intake

  • Conduct professional vehicle walk-arounds and in-person consultations for all prospective and returning clients
  • Accurately assess client needs and recommend the appropriate combination of services across detailing, PPF, coatings, and performance upgrades
  • Set clear, realistic expectations for project timelines, scope, and outcomes without overpromising
  • Present estimates confidently and consultatively, explaining value not just price
  • Maintain a documented pipeline of active estimates and follow up systematically to close open quotes
  • Identify and pursue cross-department upsell opportunities, such as performance and automotive maintenance needs during detailing intakes or detailing add-ons during performance consultations

Production Coordination

  • Serve as the scheduling interface between incoming client work and the production floor; no job enters production without confirmed capacity and a documented intake
  • Coordinate with department leads across PPF, Detailing, and Performance to align client commitments with real production timelines
  • Track job status throughout production and proactively communicate updates to clients before they have to ask
  • Manage parts sourcing and tracking for performance builds to ensure components arrive on schedule and do not delay production

Client Communication & Relationship Management

  • Own all client communication from intake through final delivery, including status updates, approvals, change orders, and vehicle handover
  • Handle client concerns and escalations with professionalism and calm resolution; know when to resolve independently and when to involve leadership
  • Conduct final vehicle presentations at delivery with the same attention to detail as the initial consultation
  • Maintain client records and follow-up cadences to support repeat business and referrals

Revenue & Operational Performance

  • Meet or exceed monthly revenue targets across managed service categories
  • Track and report on key metrics: close rate, average job value, upsell attachment rate, and client satisfaction
  • Identify trends in client requests or objections and communicate them to leadership to inform service development and pricing strategy

Expected Results

  • Close Rate: Convert 60% or more of qualified consultations into booked services
  • Average Job Value: Meet or exceed the monthly average job value benchmark set by leadership
  • Cross-Dept. Upsell Rate: Identify and convert upsell opportunities on a minimum of 30% of active jobs
  • Client Communication: Zero client complaints related to communication gaps or missed updates
  • Estimate Turnaround: All estimates delivered to the client within 24 hours of consultation
  • Pipeline Management: 100% of active estimates logged and followed up within the timeline established by operations
  • Client Satisfaction: Maintain an average satisfaction score of 4.9 stars or higher across all managed jobs

Requirements

Experience & Qualifications

  • 3 or more years of experience as a Service Advisor or Client Advisor in a premium automotive environment, such as a dealership, specialty shop, or equivalent
  • Demonstrated technical knowledge across automotive service categories, including PPF film grades, ceramic coating packages, paint correction levels, and performance modification basics
  • Experience generating and presenting service estimates with a working understanding of labor guides and gross profit margin
  • Proven track record of managing multiple client relationships and active jobs simultaneously without losing accuracy or composure
  • Experience using shop management software, CRM tools, or similar operational systems
  • Valid driver's license and clean driving record

Preferred Qualifications

  • Prior experience at a high-end Euro or exotic vehicle dealership
  • Familiarity with PPF installation processes and film brands such as XPEL, SunTek, LLumar, or equivalent
  • Experience coordinating parts procurement for performance builds
  • Exposure to detailing service tiers and the ability to differentiate service levels clearly in client conversation

Ideal Candidate Profile

This role is for you if you:

  • Treat every client like a VIP and every car like a work of art
  • Think about the business of the shop, not just the cars in it
  • Are a natural communicator who brings calm and clarity to high-stakes conversations
  • Take personal ownership of outcomes and do not wait to be managed
  • Thrive in a fast-moving, multi-department environment and keep every ball in the air
  • Are as comfortable building client relationships as you are running a tight job pipeline

This role is not for you if you:

  • Need high levels of supervision or direction to manage your day
  • Treat sales as a transaction rather than a long-term relationship
  • Become reactive or disorganized when managing multiple active jobs
  • Are uncomfortable with the expectations that come with working on $100,000+ vehicles
  • Rely on automotive enthusiasm alone without the operational discipline to back it up

Soft Skills & Cultural Fit

Simple Details upholds a clear set of core values, and every team member is expected to operate in alignment with them.

  • Integrity: You do what you say, every time, with clients, teammates, and leadership
  • Dependability: You are the person the shop can count on to hold the client relationship without dropping it
  • High Standards: The standard you hold yourself to matches the standard of the vehicles in our care
  • Results-Driven: You track outcomes, not just effort, and you hold yourself accountable to the numbers
  • Team Player: You protect the production floor by owning communication and make the technicians better by removing noise from their day
  • Resourceful: When something does not have a clear answer, you find one
